Privacy policy

What Rango collects, why, where it goes, and how to make it go away.

Who we are

Rango is a product of UGO Media Inc., a digital agency based in Calgary, Alberta, Canada. We provide an AI meeting agent that joins your calls, takes notes, and answers questions. We only ask for personal information when we truly need it to provide a service to you, and we collect it by fair and lawful means, with your knowledge and consent. What we collect

  • Account details. Your email address and, if you give it, your name. Sign-in is by emailed code or link — we never see or store a password.
  • Meeting content. When you invite the agent to a meeting, it processes the call's audio to produce transcripts, notes, and answers. Transcripts, summaries, and the knowledge entries distilled from them are stored in your workspace. Recordings, when enabled, are stored too.
  • Emails you send it. The agent has its own email address; invitations sent to it (including the attendee list on a calendar invite) are processed so it can join the meeting and send the notes afterwards.
  • Billing details. Payments are handled by Stripe. Card numbers never touch our servers; we store only what Stripe tells us about your subscription's status.
  • Usage analytics. Our website uses Google Analytics to understand how people find and use it. The emails we send contain no tracking pixels.

Meetings and consent

The agent never joins silently. It appears in the participant list under its own name and announces in the meeting chat that it is transcribing and taking notes, so everyone in the room knows it is there and what it is doing. As the person who invites it, you are responsible for making sure recording and transcription are permitted for that meeting under the laws that apply to you and your participants.

Who processes data on our behalf

We use a small set of sub-processors, each for one job: OpenAI (speech processing, transcription, and the model that generates answers and summaries), Attendee (the bot that connects to Zoom, Google Meet, and Microsoft Teams), Stripe (payments), Mailgun (sending and receiving email), Google (website analytics), and our hosting provider (servers and storage). We do not sell your data, and none of these providers may use your meeting content for anything except providing their service to us.

How long we keep it

Meeting data is kept for the retention window of your plan, then permanently deleted by an automated nightly process. If you cancel, you keep read access to everything your workspace recorded — cancelling stops new meetings, it does not destroy your history. Knowledge entries you delete are deleted, not archived.

Your controls

  • Memory (the knowledge base) is a switch you can turn off in Settings.
  • Post-meeting emails to participants can be turned off in Settings.
  • Individual meetings, knowledge entries, and lanes can be deleted from the app.
  • Deleting your account removes your workspace and its data. Each workspace is isolated from every other at the database level.
  • To exercise any data right your local law gives you — access, correction, export, deletion — contact us and we will handle it.

Changes

If this policy changes in a way that matters, we will say so plainly on this page and, for significant changes, by email to account holders.
